Motus Email Mismatch: Why USDOT Claims Fail & How to Fix

Deep dive into Motus claim failures caused by Login.gov vs Company Official email mismatch — how to diagnose, recover access, and prevent lockouts after the May 2026 Motus cutover.

Updated 2026-09-01

The most common Motus claim failure is brutally simple: the Login.gov email you use today is not the Company Official email FMCSA has on file from the legacy Portal era. When they differ, Motus often cannot automatically attach your USDOT. This guide explains why that design exists, how to diagnose it, and how to work the official recovery path without panicking into scam "claim services."

Why FMCSA ties claims to a specific email

Automatic USDOT linking is an authorization decision. If anyone with a Login.gov account could type a USDOT and take control, fraudsters would hijack active authorities. Matching the historical Company Official email is a continuity check: the same digital identity that previously managed the Portal record is the one Motus trusts on day one.

That design protects carriers — and frustrates companies that never treated Portal email as a controlled asset. Mid-May 2026 cutover reporting repeatedly highlighted email mismatch as a primary support driver. Plan for it even if you "always logged in fine" on older bookmarks.

From a security perspective, email continuity is a blunt but effective signal. It is not perfect — people lose inboxes — which is why recovery paths exist. It is still better than letting any authenticated citizen claim any USDOT by typing digits.

Diagnosis checklist

Search email archives for FMCSA Portal, URS, and MCS-150 confirmations. Ask your insurance agent which email they use on filings. Check whether a former owner, CPA, or permitting service created the original Portal user. Compare that address character-for-character to your current Login.gov profile.

If you have multiple Login.gov accounts, sign out completely and try the legacy official email account only. Creating a brand-new Login.gov with your shiny company domain will not help until FMCSA's records recognize that address through an official update/recovery process.

Ask your insurance producer which email appears on filings and certificates. Ask your permitting service which Portal user they historically used. Check domain DNS and Google Workspace audit logs if a company address bounced for months without anyone noticing.

If two partners each swear they are the Company Official, stop and resolve governance first. Motus will not mediate a partnership dispute; it will simply fail the claim that does not match records.

  • Mismatch: different domain (gmail vs company).
  • Mismatch: old employee still listed as Company Official.
  • Mismatch: typo or truncated address in ancient filings.
  • Not a mismatch: simply failing IDEMIA proofing — fix ID capture first.

Recovery without making it worse

Follow Motus and FMCSA published recovery instructions. Historically, correcting Company Official details in the legacy Portal before claiming Motus was advice circulating at cutover; after legacy retirement, use the Motus help paths and FMCSA contact center processes Motus displays. Keep a paper trail.

Avoid: paying unknown social-media "Motus fixers," sending passport photos to DMs, or sharing one-time Login.gov codes. Licensed consultants and attorneys can help assemble documentation, but they should not need your Login.gov password.

Keep communications professional and factual with FMCSA support. Provide registration documents, identity proof, and clear timelines. Parallelize what you can: update insurance contacts, prepare MCS-150 numbers, draft website copy — but do not invent a second Login.gov story that conflicts with evidence.

Prevent the next lockout

After you regain control, set Company Official and backup contacts deliberately. Document the emails in your SOPs. When ownership changes, transfer Motus/Login.gov access as part of closing — the same day you transfer titles and insurance — not six months later when a reinstatement is on fire.

Add Motus access transfer to your merger, sale, and key-person checklists beside titles, ELD admin, factoring portals, and load-board seats. Digital authority is part of the asset now.

Worked examples of mismatch (anonymized patterns)

Pattern A: The Portal-era Company Official was a permitting clerk using a personal Gmail. The carrier now wants ops@company.com. Motus will not auto-claim until records recognize the new official email through FMCSA processes.

Pattern B: Two brothers each created Login.gov accounts. Only one email is on file. The other brother is convinced Motus is down. Diagnosis takes five minutes once someone checks the archived Portal welcome message.

Pattern C: The company was sold. Seller still controls the official inbox. Buyer tries a new Login.gov and fails. This is an ownership-transfer problem first, Motus UI second.

Pattern D: Typos. A single wrong character in an email recorded years ago will block automatic linking. Bring registration PDFs to support conversations so you are not arguing from memory.

What to do while you wait on recovery

Keep hauling only if your operating authority and insurance already allow it — Motus claim friction is not a free pass to ignore other rules. Communicate with brokers honestly if a paperwork update is delayed. Draft website and MCS-150 corrections so you can execute the day access returns.

Do not create conflicting identities. Do not post your driver license in Facebook groups. Do not pay anyone who promises a backdoor into Motus. Use motus.dot.gov guidance and FMCSA support channels.

Frequently asked questions

Will Motus accept a closely related email?

Can Motus Directory fix my claim?
No. We cannot access or alter FMCSA accounts. We provide public lookups and education only. Use https://motus.dot.gov for claims.
